The words "chatbot" and "AI agent" get used as if they mean the same thing. They do not, and the difference matters when you are deciding what to build. One answers questions; the other gets things done. Here is the plain-English version.
A chatbot answers
A chatbot is a conversation. You ask, it replies. The best modern chatbots are grounded in your own content, so they answer accurately about your products, policies, and how-tos, around the clock. That is genuinely useful: it deflects repetitive questions and frees your team. But a chatbot's job ends at the answer. It tells you how to reset your password; it does not reset it for you.
An AI agent acts
An AI agent takes the next step: it can use tools and take actions to complete a task. Given a goal, it can look things up, fill in a form, update a record, route a request, or kick off a workflow, checking with a human where it matters. The shift is from "here is the answer" to "consider it done".
A chatbot is a knowledgeable receptionist. An agent is an assistant who actually goes and does the task.
Which one do you need?
Start with the outcome you want:
- Choose a chatbot when most of your volume is questions: support FAQs, product guidance, internal "where do I find" queries. Fast to deploy, low risk, quick payback.
- Choose an agent when the value is in completing work: processing requests, updating systems, automating a multi-step process that currently eats staff time.
Many businesses start with a grounded chatbot, prove the value, then add agent capabilities to the cases where doing beats answering.
The honest caveat
Agents are more powerful and more sensitive. Because they take actions, they need guardrails: clear permissions, human checks on anything risky, and good logging. Done carelessly, an agent can do the wrong thing quickly. Done well, with the right boundaries, it removes real busywork safely.
The short version
If you need better answers, build a chatbot grounded in your data. If you need work completed, build an agent with proper guardrails. Knowing which problem you have is the whole decision.
